What to Send in a Valve Enquiry: A 6-Point Checklist

What to Send in a Valve Enquiry: A 6-Point Checklist

Most valve enquiries that go back and forth three times are missing the same information. Getting these six points into the first email usually means a firm technical offer within 24 hours instead of a week of clarification.

1. Design code and pressure class

State the code the valve must be designed and tested to — API 6D, API 6A, API 600, ASME B16.34 — and the pressure class (ASME Class 150, 300, 600, 900, 1500, 2500, or API 6A working pressure). If the project datasheet quotes both a code and a class, send both.

2. Material, including sour service

Body and trim material, and whether H2S is present. If the service is sour, NACE MR0175 / ISO 15156 applies, and we need H2S partial pressure, chloride level, pH and temperature to select the material correctly (see our note on materials and NACE).

3. Size, bore and connections

Nominal size, full or reduced bore, and the end connections: flanged (with facing and drilling standard, e.g. ASME B16.5 RF, RTJ), butt weld, threaded or hub. Where the valve must fit into an existing pipe run, send the face-to-face dimension or the line list reference.

4. Testing and certification

State what the project requires beyond the standard hydrostatic shell and seat test: fire-safe testing (API 607 / ISO 10497 / API 6FA), low-temperature or cryogenic testing, fugitive emission testing (ISO 15848), NACE hardness verification, and whether third-party inspection is required (see how TPI works).

5. Quantity and delivery point

Quantity per size and tag, the delivery port or site, and the Incoterm your procurement prefers. This is what turns a price into a delivered price.

6. Required date, and why

A required delivery date — and whether it is driven by a shutdown, a sail date or a project milestone. It changes the answer: sometimes a different but equivalent design can be delivered sooner, and we will say so if that is the case.

If you do not have a datasheet yet

Send this We will do this
Service description: medium, pressure, temperature, H2S yes/no Propose the code, class and material
Line size and connection type Propose the valve type and bore
Quantity and destination Quote delivered price and lead time
A photo or the tag number of the existing valve Match or improve on the installed item
Your required date Confirm what is achievable, and what is not

What happens next

Send the information to websale@sawye.com or use the inquiry form. You get a technical offer within 24 hours, stating design code, class, material, test standard, price, lead time and Incoterm line by line — or a short list of the questions that are genuinely open.
